In order to confirm a Registration/Booking, you must select the box on the Final Page that acknowledges the Terms and Conditions that are listed in Full. Upon completing your Registration/Booking for a Trip, you accept the Terms and Conditions (“Terms”) that are provided during the booking process, and listed in full on the Main Website. These Terms include an agreement to mandatory binding individual arbitration, which means that you agree to proceeding in court. These Terms also include your waiver of any right to bring, or participate in, a class action and a jury trial waiver. If anything in these Terms is (or becomes) invalid or unenforceable, it will still be enforced to the fullest extent permitted by law and you will still be bound by everything else in these Terms. For all other terms and conditions, please refer to the information below or located within letstrav.com/terms. 

 

1. Deposits and Payment Information 

A non-refundable Deposit of $500 (per person) is required at the time of booking in order to confirm your reservation. Final payments in the form of Credit/Debit Card, Check, ACH, or Apple Pay must be received on/before 90 days prior to your departure date. All payments are forwarded to reserve aspects of your Tour. Failure to comply with the final payment due date, or any other applicable policies and procedures, will result in additional fees and/or cancellation of pending reservations without refund of monies paid.

Final Payment Due Dates (90 days prior to the departure date) of the Tour you registered for will be reflected in both your Invoice, and in your Account. 

Registrations made within 90 days of departure are under “Pending Status”. LetsTrav Agents will then review, and advise you directly, if we can confirm you for the Tour. If we are able to confirm you for the Tour, the Full Cost of the trip is due at the time of registration. Payments made remain non-refundable. 

2. Prices and Arrangements of Tours 

Quoted Tour prices are per person and based on double occupancy. Although not expected, prices may be modified due to unexpected significant external factors not forecasted at the time of publishing. LetsTrav Tours are “Packages” and are under no obligation to provide a breakdown in costs of any Tour. Pre and Post-Stay Extensions are only available to guests booked on related group tours. Any modifications to an itinerary, also including the dates of travel or the number of people traveling, will require a revised proposal. Refunds are not applicable towards any aspect of a Tour you choose to not participate in or skip (ex: return to the Hotel early, have dinner in an alternative restaurant than the group etc.)  

3. Child Policy and Minor Consent 

All children under the age of 18 must be accompanied by an adult. If both parents are not in attendance, for security and international safety reasons, a “Minor Consent Form” must be filled out and signed by both parents/legal guardians.  

LetsTrav will make efforts to accommodate a family. In such arrangements, LetsTrav requires that each room in the configuration for children must include an adult. 

The parent or guardian travelling alone with a child is required to carry a copy of documentation that proves their relationship to the child (such as a birth certificate) and evidence that they have permission to travel with the child (such as a copy of the Minor Consent Form signed by both parents/legal guardians). You must also provide a certified letter signed and dated by both parents/guardians. Guests travelling with children who are not related must carry documentation which provides evidence they have permission from both parents/guardians to travel with the child. Guests are advised to check with the appropriate government authority to determine the necessary documents required for travel with children. LetsTrav cannot be held responsible should any guest, child or member of the travelling party be denied entry to a particular country due to noncompliance with the requirements of that country. 

4. Inclusions of Tours 

Per the Website of your Tour that you are registered for:  

“Tour Only” includes: 

Land Portion (all aspects that take place within your Tour that are listed under “Inclusions” – Hotel Accommodations, Tour Escort, Meals as noted, Transfers, Guided Tours, Entrance Fees etc.)  

Any aspect involving “Airfare” (and associated Taxes/Fees) are the sole cost and responsibility of the traveler. You may purchase these via Airline Websites, SkyMiles, Credit Card Rewards, or ReSeller Website. Client must provide LetsTrav with their confirmed flight itinerary on or prior to 30 days before departure. 

One (1) Group Transfer is arranged for Arrival and Departure at the Airport noted on the Tour Website you are registered for. The times of those transfers will be listed on the Website, and arranged based on the Itinerary. 

In the event your Flight arrives or departs outside of the Group – we can arrange a Private Transfer for you at an additional cost. The transfer will then be arranged based on the times of your flight(s). A Driver will meet you in the Arrival’s Hall with a sign noting “LetsTrav”. The vehicle will accommodate the number in your party, and luggages noted. 

“With Airfare” includes: 

Roundtrip Airfare (All Taxes and Surcharges) and Baggage Fees (One Checked / One Carry-On) 

Land Portion (all aspects that take place on the Land-Portion of your Tour that are listed under “Inclusions” – Hotel Accommodations, Tour Escort, Meals as noted, Transfers, Guided Tours, Entrance Fees etc.) 

 

5. Not Included in Tours 

The Website of the Tour you registered for will indicate what is “Included” and “Not Included” in the Selling Price. 

Costs associated with obtaining Passports and/or Entry Visas (ETIAS); reciprocity; excess baggage charges; meals other than noted under “Inclusions”; room service charges; beverages outside of what is specified in the tour; sightseeing not included in the published itinerary; and any personal expenses such as dry cleaning, phone calls; and optional activities (i.e. transfers, tours, restaurants, bars etc) that are outside of the Group Tour listed on the website. 

Tips/Gratuities for Tour Escorts and/or Drivers are NOT included. A suggested amount is noted in the FAQ Page of your Tour Website, our Main Website, and your Final Confirmation that is sent to you prior to your departure. 

6. Upgrades/Special Requests 

All Tours are priced per person, based on a double occupancy in a standard room consisting of your choice of One (1) Queen Bed or Two (2) Twin Beds. Upgrades to Junior Suites, Suites, or Signature Suites are available on request basis for an additional cost. Please ask LetsTrav for details and pricing.  

Room Location requests such as adjacent/connecting rooms, or near elevators,  should be advised in the designated space within the Registration Process. Please note that reasonable efforts will be made to secure special requests; however, they cannot be guaranteed. In this case, alternative options will be provided. 

All Tours including Airfare are based on Economy Seating. Upgrades to Business Class are available on request, for an additional cost, and can be selected during the Registration Process. Please ask LetsTrav for details and prices. Please note that reasonable efforts will be made to secure special requests; however, they cannot be guaranteed.  

*Upgrades to Premium Economy or Economy Plus can be selected and purchased at the clients expense after they have Paid in Full, Tickets have been issued, and they have their Flight Confirmation Number. IF a client wishes to secure these seats earlier, payments for the Flights must be made at that time – allowing the purchase and issuing of your Airline Ticket, and obtaining the Flight Confirmation Numbers. Once tickets are issued, ticket costs are non-refundable. 

7. Materialization of Tours:

All Tours that meet the minimum number of fully paid travelers reflected in the Proposal, will operate as noted on the website. In cases of force majeure, which could include any major world event/weather adversely affecting international travel patterns or other circumstances beyond LetsTrav’s control, will an itinerary be altered. 

Tours that exceed the minimum number of fully paid travelers reflected in the Proposal, will be reviewed. The Group Leader will be contacted to confirm if they are open to accepting more travelers. If so, we will confirm travelers are case-by-case basis. If not, the Tour will be noted as “Sold Out”. 

Tours that fall short of the minimum number of fully paid travelers will be reviewed. Depending on how many are booked, we will review and make efforts to ensure the trip operates. This can come in the form of altering accommodations, itinerary, sites etc. If they wish to keep the itinerary as is – a price increase may be required. Clients will be advised, and is their responsibility to cover.  

*Cancellations made due to change of itinerary/dates are subject to standard Terms and Conditions – Fees will apply. 

 

8. Cancellation Terms 

Cancellations will be effective on the date of registration, and via receipt by LetsTrav via email. Cancellations are subject to the following cancellation fees: 

CANCELLATION FEES PER PERSON
91 days prior to departure or more: $500 Non-Refundable Deposit 

90-61 days prior to departure: $500 Non-Refundable Deposit + 20% of Trip. 

60-31 days prior to departure: $500 Non-Refundable Deposit + 50% of Trip. 

Within 30 days of departure: 100% – No Refund. 

PARTIAL ROOM CANCELLATION:
If a Guest cancels or leaves a Tour, and a traveler/roommate remains, an additional supplement may apply to the price for the remaining Guest. 

CANCELLATION CHARGES THAT INCLUDE AIRFARE:
All Airfare is 100% non-refundable at the time of final payment – as Tickets have been issued. 

CANCELLATION CHARGES FOR EXTRA SERVICES
Additional Hotel nights, and other extra services, booked in connection with LetsTrav Tours are subject to the same cancellation penalties.  

9. Force Majeure 

Force majeure means unusual and unforeseeable circumstances beyond the control of LetsTrav, or our suppliers. The consequence of which neither LetsTrav, nor its suppliers, could avoid even with all due care, including, but not limited to, war or threat of war; riot; civil strife; terrorist activity (actual or threatened); industrial dispute; technical problems with transport, machinery or equipment; outages or power failures; natural or nuclear disaster; fire, flood, drought or adverse weather conditions; pandemics, epidemics or outbreaks of illness. In the event of a cancellation or material alteration to the Tour as a result of the circumstances described in this clause, LetsTrav shall have no liability whatsoever for any travel related costs incurred by the client, including but not limited to air, insurance, visas and other travel arrangements of any kind. 

 

 

Flights: 

 

10. Air Transportation 

International Airfare (to the Tours starting point and from the ending point) from the Departure City, set by the Group Leader, is included in “Air and Land” program pricing. LetsTrav has arrangements with many air carriers and can offer quotations from any gateway. In the instance where specific flights are used and seating is limited, LetsTrav reserves the right to substitute and confirm air reservations on an available alternative scheduled air flight. All International Air is based on economy class seating and is 100% non-refundable at the time of final payment. All International Air is subject to change until final payment has been received by LetsTrav. Flight times/routing are at the control of the Airlines, and may change due to unforseen circumstances. In those cases, you will be updated accordingly. 

11. Baggage Allowances / Restrictions

LetsTrav includes one (1) piece of baggage per person. Should you purchase an upgrade to Business Class, you will be afforded two (2) pieces of luggage per person. Weight/size restrictions apply as per Airline and TSA regulations. Additional Bags will incur additional costs at your own expense – and can be purchased at the Airport. 

Baggage and personal items are at the owner’s risk throughout the time of your Tour. LetsTrav assumes no liability for lost, stolen or damaged baggage. Please check with your international carrier for other baggage restrictions and fees applicable to your international flights. 

 

Arrival/Departure Process: 

 

12. Transfer Procedures:

Arrival Procedure: 

A Driver/Escort will meet your Group in the Arrival’s Hall of the Airport – holding a sign noting “LetsTrav”. You will have time to utilize the restrooms before being escorted to the Bus. The Driver will assist in loading your luggage in the vehicle and then you will board and transfer to your Hotel. 

Departure Procedure:  

Approximately 48 Hours prior to departure, your Escort will address the Group and advise you of the following: 

  • Departure Time. 
  • Wake-Up Calls. 
  • When to have your Luggage outside your room to be collected by the Porters. 
  • Outstanding Bills (charges to the room – if any). 
  • Answers to any other questions you may have. 

A Driver will meet you at your Hotel for the Group Transfer to the Airport. The time is scheduled to ensure you arrive at the Airport three (3) hours prior to your International Flight. This will afford you plenty of time to check-in your luggage and go through security. You will also have time for any duty-free shopping as well. 

 

Active Travel: 

 

13. Hotel Check-In Information

Hotels have a standard check-in time during the mid- afternoon, and we have mapped out your arrival itinerary based on that time. If you are arriving earlier than the Group, and wish to have a guaranteed room ready for your immediate check-in upon arrival, it will require an additional room night to be purchased/confirmed for the night prior. Please ask LetsTrav for details and prices. Requests for early check-in are pending, and on request basis. It is the sole discretion of the Hotel, and will depend on the Hotel availability. 

14. Daily Itineraries of the Tour 

LetsTrav reserves the right to modify the tour itinerary, including arranged sightseeing, and substitute accommodations/restaurants, at any time due to unforeseen circumstances or circumstances beyond LetsTrav’s control. Reasonable efforts will be made to operate the itineraries as planned, but alterations may occur after the final itinerary has been issued. 

Due to the nature of International Travel, itineraries listed on the website are for guidance purposes only and may be adjusted due to unforeseen circumstances including but not limited to operation closures, restoration of establishments, weather, road closures, medical emergencies and other conditions beyond LetsTrav’s control at the sole discretion of our Operators and/or Government Officials. 

 

 

Activity Expectations: 

15. Physicality and Activity Level 

To enjoy the Tours as planned, a minimum level of fitness is required. 

Upon booking a Tour, you confirm that you, and all parties within your Order, are physically and emotionally fit to travel on the Tour you registered for. In addition, you confirm/acknowledge that their are no medical or emotional conditions that would endanger the Guest, or any Guest on the trip as a result in a deviation of the Tour. Any Guest with special medical, physical, and/or other needs requiring medical attention or special accommodation during the Tour is required to notify LetsTrav in the designated section noted in the Registration Process. LetsTrav advises that any Guest who is not self-sufficient must travel with a companion who shall take responsibility for any personal assistance needed during the Tour. A typical day of touring can include 3-5 miles of walking – spread out over the course of the day. 

 

Coverage and Requirements: 

 

16. Travel Insurance 

Travel Insurance is not included in the price of the booking, and is strongly encouraged.  

17. Passports and Visas

It is the Guest’s sole responsibility to identify if they need to obtain Travel Visa. It is the Guest’s sole responsibility to identify if they need to obtain/renew their Passport(s). A valid passport is required for U.S. citizens travelling to all international destinations. Passports must be valid through six (6) months after the completion date of the Tour. There must also be a sufficient number of blank pages within the Passport Booklet to accommodate entry and exit stamps. 

Visa’s for Europe: 

At present, US citizens do not require a Travel Visa. 

Starting in the Winter of 2026, a Travel Visa (ETIAS) will be required by all U.S. Passport holders. When that goes into affect, each client will be informed where to obtain them, and how much. These details will be indicated in the FAQ Page found on your Tour Website, and in your Pre-Travel Documentation. It is the sole responsibility of the client to obtain the ETIAS prior to departure. Fees and Registrations are done directly through an Official Government website, and not through LetsTrav. 

 

Non U.S. Passport Holders: 

Due to continuous updates in travel requirements, citizens whom have a non-US Passport (a passport from another country) should contact the appropriate government office with regards to their entry requirements for the countries included in your Tour. You may be refused boarding or removed from a plane/ship without liability for refund, payment, compensation, or credit of any kind if you do not have the necessary documentation. You will also be liable for any fine or costs incurred by LetsTrav that result from improper documentation, or noncompliance with the regulations. LetsTrav is not responsible if any guest is denied entry to a particular country due to missing documentation. 

18. Public Health: Infectious Diseases 

Clients both agree, understand, and acknowledge that an inherent risk of exposure to Communicable and Infectious Diseases (as well as variants and strains) can take place while traveling. They exist in any/all public places where people are present. There are no precautions that can eliminate 100% risk of exposure to them, and the risk of exposure applies to everyone. Relevant public health authorities, including the CDC, are referred to as “Public Health Authorities.” By registering for your Tour, you acknowledge the risk of exposure to Communicable or Infectious Diseases, including the risk that you could expose others that encounter you, even if you are not experiencing or displaying any symptoms of illness. 

Clients acknowledge, and agree, to voluntarily accept any and all risks in any way related to exposure to any Communicable or Infectious Diseases. Participating in a tour with LetsTrav is entirely voluntary. Clients are knowledgeable about their individual risk of developing severe illness if they are exposed to and/or infected with highly contagious or communicable illnesses or disease. Clients must make an informed decision about travelling and if you have any hesitation, we strongly recommend that you consult with a medical professional before deciding to participate in our Tours based on your individual risk. 

Clients agree to abide by, and consent to, all public health rules, regulations, mandates and safety protocols issued by Public Health Authorities worldwide. You further acknowledge that the public health rules, regulations, mandates, and safety protocols issued by Public Health Authorities and/or other governing bodies are subject to change. LetsTrav reserves the right to enforce the requirement of any health and safety protocols, including, but not limited to, requirements on vaccinations, masks, and physical distancing at its sole discretion, without notice, in line with the Public Health Authorities. It is your sole responsibility to confirm any changes to any health and safety protocols that may be applicable at any destination worldwide and ensure compliance with all health and safety protocols. 

While LetsTrav will do its best to inform every client – it is also the responsibility of the client to become informed about the most current travel advisories and warnings by referring to the U.S. State Department or their respective government agencies. In the event of an active State Department or government agency travel warning against travel to the specific destination location(s) of the Tour, should the client still choose to travel, notwithstanding any travel advisory, the client assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against. You are also encouraged to review any CDC travel advisory, warning, or recommendation relating to travel prior to making your Tour at https://www.cdc.gov, and the U.S. State Department’s website at http://travel.state.gov. 

19. Photography/Video during Tours 

LetsTrav reserves the right to take photographs and video of Guests during the operation of any Tour or part thereof and to use, re-use, publish, and republish their image, identity likeness, voice, interview, statements, video clips and sound recordings, and/or photographic portraits or pictures in which Guest(s) may be included (an  “Image”), for promotional purposes during the program and thereafter. By booking a Tour with LetsTrav, clients acknowledge that LetsTrav is the owner of the photographs and video and agree to allow their Image to be used in such photographs and videos, which may thereafter be used by LetsTrav. Clients who prefer that their images not be used must (1) identify themselves to their Tour Escort at the beginning of their Tour; and (2) notify their LetsTrav Consultant via Email, no later than fourteen (14) days following the end of the Guest’s Tour. In the event the Guest fails to comply with both obligations, the Guest shall not be exempt from this section. If a written notice is not timely provided, the Guests, individually and on behalf of any Minor travelling with them, have granted unrestricted rights and permission for LetsTrav to use the Images. 

20. Limits and Responsibility for Third Parties who provide Goods and Services 

LetsTrav purchases transportation (Aircraft and/or Coach), Hotel and other lodging accommodations, Restaurant, Ground Handling and other services from various independent suppliers. Neither LetsTrav, nor its affiliates or subsidiaries, nor any of their respective employees, officers, directors, successors, representatives, agents and assigns (collectively the “LetsTrav Parties”), own or operate any transportation, lodging accommodations on land, restaurants, ground transport and other goods and services for your trip. All such persons and entities are independent contractors. As a result, the LetsTrav Parties are not liable for any injury to Guests, including any negligent or willful acts of any such person or entity or of any third person providing such goods and services. 

In addition, and without limitation, the LetsTrav Parties are not responsible for any injury, financial or physical loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, illness, disease, acts of war, civil unrest, revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time. 

If you decide to participate in any activities outside of those that LetsTrav have arranged for you/group, as noted on your Tour Website, the client fully understands and acknowledges that these activities carry with them various inherent risks, including serious illness, injury or death, and you take complete responsibility for your own health and safety and agree to assume all risks of injury, illness or death, whether foreseen or unforeseen, that may befall you as a result of 

participating in any Activities and agree to release the LetsTrav Parties from any liability whatsoever related thereto. 

Further, as consideration for being permitted to participate in the Activities; you release the LetsTrav Parties, whether known or unknown, from, and agree not to sue or make claim against the LetsTrav Parties for, property damage, cancellation of any Activities for any reason, illness, negligent rescue operations or procedures, personal injury, or death arising out of your participation in the Activities, and any activity related thereto, including transportation to and from the site of the Activities, regardless of whether such property damage, illness, personal injury, or death results from the negligence of the LetsTrav Parties and/or from any defect in equipment. You further agree to indemnify and hold the LetsTrav Parties harmless with respect to any claim made against the LetsTrav Parties by anyone else (a) related to your participation in any trip or any Activities, or (b) which would be subject to the above release and covenant not to sue if you had made the claim directly yourself. Upon receipt of notice of the assertion of a claim, the LetsTrav Parties reserve the right to approve, or withdraw approval of, counsel, in its sole discretion. 

21. Amendments 

LetsTrav reserves the right to correct any errors or omissions in its published materials and to amend these Terms at any time. All amended Terms shall automatically be effective upon being posted by LetsTrav to the Website. Guests should check the Website prior to travel in order to ensure they are aware of any changes. 

22. Important Limitations on the Company’s Liability 

Nothing in these Terms shall limit or deprive LetsTrav of the benefit of any applicable statutes or laws of the United States of America or any other country; or any international convention providing for release from, or limitation of, liability. In the event multiple statutes, laws or conventions may apply, LetsTrav shall be entitled to any or all such limitations unless there is a conflict between such statutes, laws or conventions, in which case LetsTrav shall be entitled to invoke the limitation which provides the most favorable limitation to LetsTrav.

Any aspect involving “Airfare” (and associated Taxes/Fees) are the sole cost and responsibility of the traveler. You may purchase these via Airline Websites, SkyMiles, Credit Card Rewards, or ReSeller Website. Client must provide LetsTrav with their confirmed flight itinerary on or prior to 30 days before departure. 

One (1) Group Transfer is arranged for Arrival and Departure at the Airport noted on the Tour Website you are registered for. The times of those transfers will be listed on the Website, and arranged based on the Itinerary. 

In the event your Flight arrives or departs outside of the Group – we can arrange a Private Transfer for you at an additional cost. The transfer will then be arranged based on the times of your flight(s). A Driver will meet you in the Arrival’s Hall with a sign noting “LetsTrav”. The vehicle will accommodate the number in your party, and luggages noted. 

“With Airfare” includes: 

Roundtrip Airfare (All Taxes and Surcharges) and Baggage Fees (One Checked / One Carry-On) 

Land Portion (all aspects that take place on the Land-Portion of your Tour that are listed under “Inclusions” – Hotel Accommodations, Tour Escort, Meals as noted, Transfers, Guided Tours, Entrance Fees etc.) 

 

5. Not Included in Tours 

The Website of the Tour you registered for will indicate what is “Included” and “Not Included” in the Selling Price. 

Costs associated with obtaining Passports and/or Entry Visas (ETA-IL); reciprocity; excess baggage charges; meals other than noted under “Inclusions”; room service charges; beverages outside of what is specified in the tour; sightseeing not included in the published itinerary; and any personal expenses such as dry cleaning, phone calls; and optional activities (i.e. transfers, tours, restaurants, bars etc) that are outside of the Group Tour listed on the website. 

Tips/Gratuities for Tour Escorts and/or Drivers are NOT included. A suggested amount is noted in the FAQ Page of your Tour Website, our Main Website, and your Final Confirmation that is sent to you prior to your departure. 

6. Upgrades/Special Requests 

All Tours are priced per person, based on a double occupancy in a standard room consisting of your choice of One (1) Queen Bed or Two (2) Twin Beds. Upgrades to Junior Suites, Suites, or Signature Suites are available on request basis for an additional cost. Please ask LetsTrav for details and pricing.  

Room Location requests such as adjacent/connecting rooms, or near elevators,  should be advised in the designated space within the Registration Process. Please note that reasonable efforts will be made to secure special requests; however, they cannot be guaranteed. In this case, alternative options will be provided. 

All Tours including Airfare are based on Economy Seating. Upgrades to Business Class are available on request, for an additional cost, and can be selected during the Registration Process. Please ask LetsTrav for details and prices. Please note that reasonable efforts will be made to secure special requests; however, they cannot be guaranteed.  

*Upgrades to Premium Economy or Economy Plus can be selected and purchased at the clients expense after they have Paid in Full, Tickets have been issued, and they have their Flight Confirmation Number. IF a client wishes to secure these seats earlier, payments for the Flights must be made at that time – allowing the purchase and issuing of your Airline Ticket, and obtaining the Flight Confirmation Numbers. Once tickets are issued, ticket costs are non-refundable. 

7. Materialization of Tours:

All Tours that meet the minimum number of fully paid travelers reflected in the Proposal, will operate as noted on the website. In cases of force majeure, which could include any major world event/weather adversely affecting international travel patterns or other circumstances beyond LetsTrav’s control, will an itinerary be altered. 

Tours that exceed the minimum number of fully paid travelers reflected in the Proposal, will be reviewed. The Group Leader will be contacted to confirm if they are open to accepting more travelers. If so, we will confirm travelers are case-by-case basis. If not, the Tour will be noted as “Sold Out”. 

Tours that fall short of the minimum number of fully paid travelers will be reviewed. Depending on how many are booked, we will review and make efforts to ensure the trip operates. This can come in the form of altering accommodations, itinerary, sites etc. If they wish to keep the itinerary as is – a price increase may be required. Clients will be advised, and is their responsibility to cover.  

*Cancellations made due to change of itinerary/dates are subject to standard Terms and Conditions – Fees will apply. 

 

8. Cancellation Terms 

Cancellations will be effective on the date of registration, and via receipt by LetsTrav via email. Cancellations are subject to the following cancellation fees: 

CANCELLATION FEES PER PERSON
91 days prior to departure or more: $500 Non-Refundable Deposit 

90-61 days prior to departure: $500 Non-Refundable Deposit + 20% of Trip. 

60-31 days prior to departure: $500 Non-Refundable Deposit + 50% of Trip. 

Within 30 days of departure: 100% – No Refund. 

PARTIAL ROOM CANCELLATION:
If a Guest cancels or leaves a Tour, and a traveler/roommate remains, an additional supplement may apply to the price for the remaining Guest. 

CANCELLATION CHARGES THAT INCLUDE AIRFARE:
All Airfare is 100% non-refundable at the time of final payment – as Tickets have been issued. 

CANCELLATION CHARGES FOR EXTRA SERVICES
Additional Hotel nights, and other extra services, booked in connection with LetsTrav Tours are subject to the same cancellation penalties.  

9. Force Majeure 

Force majeure means unusual and unforeseeable circumstances beyond the control of LetsTrav, or our suppliers. The consequence of which neither LetsTrav, nor its suppliers, could avoid even with all due care, including, but not limited to, war or threat of war; riot; civil strife; terrorist activity (actual or threatened); industrial dispute; technical problems with transport, machinery or equipment; outages or power failures; natural or nuclear disaster; fire, flood, drought or adverse weather conditions; pandemics, epidemics or outbreaks of illness. In the event of a cancellation or material alteration to the Tour as a result of the circumstances described in this clause, LetsTrav shall have no liability whatsoever for any travel related costs incurred by the client, including but not limited to air, insurance, visas and other travel arrangements of any kind. 

 

 

Flights: 

 

10. Air Transportation 

International Airfare (to the Tours starting point and from the ending point) from the Departure City, set by the Group Leader, is included in “Air and Land” program pricing. LetsTrav has arrangements with many air carriers and can offer quotations from any gateway. In the instance where specific flights are used and seating is limited, LetsTrav reserves the right to substitute and confirm air reservations on an available alternative scheduled air flight. All International Air is based on economy class seating and is 100% non-refundable at the time of final payment. All International Air is subject to change until final payment has been received by LetsTrav. Flight times/routing are at the control of the Airlines, and may change due to unforseen circumstances. In those cases, you will be updated accordingly. 

11. Baggage Allowances / Restrictions

LetsTrav includes one (1) piece of baggage per person. Should you purchase an upgrade to Business Class, you will be afforded two (2) pieces of luggage per person. Weight/size restrictions apply as per Airline and TSA regulations. Additional Bags will incur additional costs at your own expense – and can be purchased at the Airport. 

Baggage and personal items are at the owner’s risk throughout the time of your Tour. LetsTrav assumes no liability for lost, stolen or damaged baggage. Please check with your international carrier for other baggage restrictions and fees applicable to your international flights. 

 

Arrival/Departure Process: 

 

12. Transfer Procedures:

Arrival Procedure: 

A Driver/Escort will meet your Group in the Arrival’s Hall of the Airport – holding a sign noting “LetsTrav”. You will have time to utilize the restrooms before being escorted to the Bus. The Driver will assist in loading your luggage in the vehicle and then you will board and transfer to your Hotel. 

Departure Procedure:  

Approximately 48 Hours prior to departure, your Escort will address the Group and advise you of the following: 

  • Departure Time. 
  • Wake-Up Calls. 
  • When to have your Luggage outside your room to be collected by the Porters. 
  • Outstanding Bills (charges to the room – if any). 
  • Answers to any other questions you may have. 

A Driver will meet you at your Hotel for the Group Transfer to the Airport. The time is scheduled to ensure you arrive at the Airport three (3) hours prior to your International Flight. This will afford you plenty of time to check-in your luggage and go through security. You will also have time for any duty-free shopping as well. 

 

Active Travel: 

 

13. Hotel Check-In Information

Hotels have a standard check-in time during the mid- afternoon, and we have mapped out your arrival itinerary based on that time. If you are arriving earlier than the Group, and wish to have a guaranteed room ready for your immediate check-in upon arrival, it will require an additional room night to be purchased/confirmed for the night prior. Please ask LetsTrav for details and prices. Requests for early check-in are pending, and on request basis. It is the sole discretion of the Hotel, and will depend on the Hotel availability. 

14. Daily Itineraries of the Tour 

LetsTrav reserves the right to modify the tour itinerary, including arranged sightseeing, and substitute accommodations/restaurants, at any time due to unforeseen circumstances or circumstances beyond LetsTrav’s control. Reasonable efforts will be made to operate the itineraries as planned, but alterations may occur after the final itinerary has been issued. 

Due to the nature of International Travel, itineraries listed on the website are for guidance purposes only and may be adjusted due to unforeseen circumstances including but not limited to operation closures, restoration of establishments, weather, road closures, medical emergencies and other conditions beyond LetsTrav’s control at the sole discretion of our Operators and/or Government Officials. 

 

 

Activity Expectations: 

15. Physicality and Activity Level 

To enjoy the Tours as planned, a minimum level of fitness is required. 

Upon booking a Tour, you confirm that you, and all parties within your Order, are physically and emotionally fit to travel on the Tour you registered for. In addition, you confirm/acknowledge that their are no medical or emotional conditions that would endanger the Guest, or any Guest on the trip as a result in a deviation of the Tour. Any Guest with special medical, physical, and/or other needs requiring medical attention or special accommodation during the Tour is required to notify LetsTrav in the designated section noted in the Registration Process. LetsTrav advises that any Guest who is not self-sufficient must travel with a companion who shall take responsibility for any personal assistance needed during the Tour. A typical day of touring can include 3-5 miles of walking – spread out over the course of the day. 

 

Coverage and Requirements: 

 

16. Travel Insurance 

Travel Insurance is not included in the price of the booking, and is strongly encouraged.  

17. Passports and Visas

It is the Guest’s sole responsibility to identify if they need to obtain Travel Visa. It is the Guest’s sole responsibility to identify if they need to obtain/renew their Passport(s). A valid passport is required for U.S. citizens travelling to all international destinations. Passports must be valid through six (6) months after the completion date of the Tour. There must also be a sufficient number of blank pages within the Passport Booklet to accommodate entry and exit stamps. 

Middle East: 

At present, all U.S. Passport holders are required to purchase a Travel Visa (ETA-IL) prior to departure. All details will be indicated in the FAQ Page found on your Tour Website, and in your Pre-Travel Documentation. It is the sole responsibility of the client to obtain the ETA-IL prior to departure. Fees and Registrations are done directly through an Official Government website, and not through LetsTrav. 

Non U.S. Passport Holders: 

Due to continuous updates in travel requirements, citizens whom have a non-US Passport (a passport from another country) should contact the appropriate government office with regards to their entry requirements for the countries included in your Tour. You may be refused boarding or removed from a plane/ship without liability for refund, payment, compensation, or credit of any kind if you do not have the necessary documentation. You will also be liable for any fine or costs incurred by LetsTrav that result from improper documentation, or noncompliance with the regulations. LetsTrav is not responsible if any guest is denied entry to a particular country due to missing documentation. 

18. Public Health: Infectious Diseases 

Clients both agree, understand, and acknowledge that an inherent risk of exposure to Communicable and Infectious Diseases (as well as variants and strains) can take place while traveling. They exist in any/all public places where people are present. There are no precautions that can eliminate 100% risk of exposure to them, and the risk of exposure applies to everyone. Relevant public health authorities, including the CDC, are referred to as “Public Health Authorities.” By registering for your Tour, you acknowledge the risk of exposure to Communicable or Infectious Diseases, including the risk that you could expose others that encounter you, even if you are not experiencing or displaying any symptoms of illness. 

Clients acknowledge, and agree, to voluntarily accept any and all risks in any way related to exposure to any Communicable or Infectious Diseases. Participating in a tour with LetsTrav is entirely voluntary. Clients are knowledgeable about their individual risk of developing severe illness if they are exposed to and/or infected with highly contagious or communicable illnesses or disease. Clients must make an informed decision about travelling and if you have any hesitation, we strongly recommend that you consult with a medical professional before deciding to participate in our Tours based on your individual risk. 

Clients agree to abide by, and consent to, all public health rules, regulations, mandates and safety protocols issued by Public Health Authorities worldwide. You further acknowledge that the public health rules, regulations, mandates, and safety protocols issued by Public Health Authorities and/or other governing bodies are subject to change. LetsTrav reserves the right to enforce the requirement of any health and safety protocols, including, but not limited to, requirements on vaccinations, masks, and physical distancing at its sole discretion, without notice, in line with the Public Health Authorities. It is your sole responsibility to confirm any changes to any health and safety protocols that may be applicable at any destination worldwide and ensure compliance with all health and safety protocols. 

While LetsTrav will do its best to inform every client – it is also the responsibility of the client to become informed about the most current travel advisories and warnings by referring to the U.S. State Department or their respective government agencies. In the event of an active State Department or government agency travel warning against travel to the specific destination location(s) of the Tour, should the client still choose to travel, notwithstanding any travel advisory, the client assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against. You are also encouraged to review any CDC travel advisory, warning, or recommendation relating to travel prior to making your Tour at https://www.cdc.gov, and the U.S. State Department’s website at http://travel.state.gov. 

19. Photography/Video during Tours 

LetsTrav reserves the right to take photographs and video of Guests during the operation of any Tour or part thereof and to use, re-use, publish, and republish their image, identity likeness, voice, interview, statements, video clips and sound recordings, and/or photographic portraits or pictures in which Guest(s) may be included (an  “Image”), for promotional purposes during the program and thereafter. By booking a Tour with LetsTrav, clients acknowledge that LetsTrav is the owner of the photographs and video and agree to allow their Image to be used in such photographs and videos, which may thereafter be used by LetsTrav. Clients who prefer that their images not be used must (1) identify themselves to their Tour Escort at the beginning of their Tour; and (2) notify their LetsTrav Consultant via Email, no later than fourteen (14) days following the end of the Guest’s Tour. In the event the Guest fails to comply with both obligations, the Guest shall not be exempt from this section. If a written notice is not timely provided, the Guests, individually and on behalf of any Minor travelling with them, have granted unrestricted rights and permission for LetsTrav to use the Images. 

20. Limits and Responsibility for Third Parties who provide Goods and Services 

LetsTrav purchases transportation (Aircraft and/or Coach), Hotel and other lodging accommodations, Restaurant, Ground Handling and other services from various independent suppliers. Neither LetsTrav, nor its affiliates or subsidiaries, nor any of their respective employees, officers, directors, successors, representatives, agents and assigns (collectively the “LetsTrav Parties”), own or operate any transportation, lodging accommodations on land, restaurants, ground transport and other goods and services for your trip. All such persons and entities are independent contractors. As a result, the LetsTrav Parties are not liable for any injury to Guests, including any negligent or willful acts of any such person or entity or of any third person providing such goods and services. 

In addition, and without limitation, the LetsTrav Parties are not responsible for any injury, financial or physical loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, illness, disease, acts of war, civil unrest, revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time. 

If you decide to participate in any activities outside of those that LetsTrav have arranged for you/group, as noted on your Tour Website, the client fully understands and acknowledges that these activities carry with them various inherent risks, including serious illness, injury or death, and you take complete responsibility for your own health and safety and agree to assume all risks of injury, illness or death, whether foreseen or unforeseen, that may befall you as a result of 

participating in any Activities and agree to release the LetsTrav Parties from any liability whatsoever related thereto. 

Further, as consideration for being permitted to participate in the Activities; you release the LetsTrav Parties, whether known or unknown, from, and agree not to sue or make claim against the LetsTrav Parties for, property damage, cancellation of any Activities for any reason, illness, negligent rescue operations or procedures, personal injury, or death arising out of your participation in the Activities, and any activity related thereto, including transportation to and from the site of the Activities, regardless of whether such property damage, illness, personal injury, or death results from the negligence of the LetsTrav Parties and/or from any defect in equipment. You further agree to indemnify and hold the LetsTrav Parties harmless with respect to any claim made against the LetsTrav Parties by anyone else (a) related to your participation in any trip or any Activities, or (b) which would be subject to the above release and covenant not to sue if you had made the claim directly yourself. Upon receipt of notice of the assertion of a claim, the LetsTrav Parties reserve the right to approve, or withdraw approval of, counsel, in its sole discretion. 

21. Amendments 

LetsTrav reserves the right to correct any errors or omissions in its published materials and to amend these Terms at any time. All amended Terms shall automatically be effective upon being posted by LetsTrav to the Website. Guests should check the Website prior to travel in order to ensure they are aware of any changes. 

22. Important Limitations on the Company’s Liability 

Nothing in these Terms shall limit or deprive LetsTrav of the benefit of any applicable statutes or laws of the United States of America or any other country; or any international convention providing for release from, or limitation of, liability. In the event multiple statutes, laws or conventions may apply, LetsTrav shall be entitled to any or all such limitations unless there is a conflict between such statutes, laws or conventions, in which case LetsTrav shall be entitled to invoke the limitation which provides the most favorable limitation to LetsTrav.

In order to confirm a Registration/Booking, you must select the box on the Final Page that acknowledges the Terms and Conditions that are listed in Full. Upon completing your Registration/Booking for a Trip, you accept the Terms and Conditions (“Terms”) that are provided during the booking process, and listed in full on the Main Website. These Terms include an agreement to mandatory binding individual arbitration, which means that you agree to proceeding in court. These Terms also include your waiver of any right to bring, or participate in, a class action and a jury trial waiver. If anything in these Terms is (or becomes) invalid or unenforceable, it will still be enforced to the fullest extent permitted by law and you will still be bound by everything else in these Terms. For all other Terms and Conditions, please refer to the information below or located within letstrav.com/terms. 

 

1. Deposits and Payment Information 

A non-refundable Deposit of $500 (per person) is required at the time of booking in order to confirm your reservation. Final payments in the form of Credit/Debit Card, Check, ACH, or Apple Pay must be received on/before 90 days prior to your departure date. All payments are forwarded to reserve aspects of your Tour. Failure to comply with the final payment due date, or any other applicable policies and procedures, will result in additional fees and/or cancellation of pending reservations without refund of monies paid.

Final Payment Due Dates (90 days prior to the departure date) of the Tour you registered for will be reflected in both your Invoice, and in your Account. 

Registrations made within 90 days of departure are under “Pending Status”. LetsTrav Agents will then review, and advise you directly, if we can confirm you for the Tour. If we are able to confirm you for the Tour, the Full Cost of the trip is due at the time of registration. Payments made remain non-refundable. 

2. Prices and Arrangements of Tours 

Quoted Tour prices are per person and based on double occupancy. Although not expected, prices may be modified due to unexpected significant external factors not forecasted at the time of publishing. LetsTrav Tours are “Packages” and are under no obligation to provide a breakdown in costs of any Tour. Pre and Post-Stay Extensions are only available to guests booked on related group tours. Any modifications to an itinerary, also including the dates of travel or the number of people traveling, will require a revised proposal. Refunds are not applicable towards any aspect of a Tour you choose to not participate in or skip (ex: return to the Hotel early, have dinner in an alternative restaurant than the group etc.)  

3. Child Policy and Minor Consent 

All children under the age of 13 must be accompanied by an adult. If both parents are not in attendance, for security and international safety reasons, a “Minor Consent Form” must be filled out and signed by both parents/legal guardians.  

LetsTrav will make efforts to accommodate a family. In such arrangements, LetsTrav requires that each room in the configuration for children must include an adult. 

The parent or guardian travelling alone with a child is required to carry a copy of documentation that proves their relationship to the child (such as a birth certificate) and evidence that they have permission to travel with the child (such as a copy of the Minor Consent Form signed by both parents/legal guardians). You must also provide a certified letter signed and dated by both parents/guardians. Guests travelling with children who are not related must carry documentation which provides evidence they have permission from both parents/guardians to travel with the child. Guests are advised to check with the appropriate government authority to determine the necessary documents required for travel with children. LetsTrav cannot be held responsible should any guest, child or member of the travelling party be denied entry to a a particular country due to noncompliance with the requirements of that country.

Tours that exceed the minimum number of fully paid travelers reflected in the Proposal, will be reviewed. The Group Leader will be contacted to confirm if they are open to accepting more travelers. If so, we will confirm travelers on case-by-case basis (pending availability). If not, the Tour will be noted as “Sold Out”. 

Tours that fall short of the minimum number of fully paid travelers will be reviewed. Depending on how many are booked, we will review and make efforts to ensure the trip operates. This can come in the form of altering accommodations, itinerary, sites, courses etc. If they wish to keep the itinerary as is – a price increase may be required. Clients will be advised, and it is their responsibility to cover.  

*Cancellations made due to change of itinerary/dates are subject to standard Terms and Conditions – Fees will apply. 

 

8. Cancellation Terms 

Cancellations will be effective on the date of registration, and via receipt by LetsTrav via email. Cancellations are subject to the following cancellation fees: 

CANCELLATION FEES PER PERSON
91 days prior to departure or more: $500 Non-Refundable Deposit 

90-61 days prior to departure: $500 Non-Refundable Deposit + 30% of Trip. 

60-31 days prior to departure: $500 Non-Refundable Deposit + 50% of Trip. 

Within 30 days of departure: 100% – No Refund. 

PARTIAL ROOM CANCELLATION:
If a Guest cancels or leaves a Tour, and a traveler/roommate remains, an additional supplement may apply to the price for the remaining Guest. 

CANCELLATION CHARGES THAT INCLUDE AIRFARE:
All Airfare is 100% non-refundable at the time of final payment – as Tickets have been issued. 

CANCELLATION CHARGES FOR EXTRA SERVICES
Additional Hotel nights, and other extra services, booked in connection with LetsTrav Tours are subject to the same cancellation penalties.  

9. Force Majeure 

Force majeure means unusual and unforeseeable circumstances beyond the control of LetsTrav, or our suppliers. The consequence of which neither LetsTrav, nor its suppliers, could avoid even with all due care, including, but not limited to, war or threat of war; riot; civil strife; terrorist activity (actual or threatened); industrial dispute; technical problems with transport, machinery or equipment; outages or power failures; natural or nuclear disaster; fire, flood, drought or adverse weather conditions; pandemics, epidemics or outbreaks of illness. In the event of a cancellation or material alteration to the Tour as a result of the circumstances described in this clause, LetsTrav shall have no liability whatsoever for any travel related costs incurred by the client, including but not limited to air, insurance, visas and other travel arrangements of any kind. 

 

 

Flights: 

 

10. Air Transportation 

International Airfare (to the Tours starting point and from the ending point) from the Departure City, set by the Group Leader, is included in “Air and Land” program pricing. LetsTrav has arrangements with many air carriers and can offer quotations from any gateway. In the instance where specific flights are used and seating is limited, LetsTrav reserves the right to substitute and confirm air reservations on an available alternative scheduled air flight. All International Air is based on economy class seating and is 100% non-refundable at the time of final payment. All International Air is subject to change until final payment has been received by LetsTrav. Flight times/routing are at the control of the Airlines, and may change due to unforseen circumstances. In those cases, you will be updated accordingly. 

11. Baggage Allowances / Restrictions

LetsTrav includes one (1) Checked Bag per person (in addition to one set of Golf Clubs and one Carry-On). Should you purchase an upgrade to Business Class, you will be afforded two (2) Checked Bags per person. Weight/size restrictions apply as per Airline and TSA regulations. Additional Bags will incur additional costs at your own expense – and can be purchased at the Airport. 

Baggage, Golf Clubs, and personal items are at the owner’s risk throughout the time of your Tour. LetsTrav assumes no liability for lost, stolen or damaged baggage. Please check with your international carrier for other baggage restrictions and fees applicable to your international flights. 

 

Arrival/Departure Process: 

 

12. Transfer Procedures:

Arrival Procedure: 

A Driver/Escort will meet your Group in the Arrival’s Hall of the Airport – holding a sign noting “LetsTrav”. You will have time to utilize the restrooms before being escorted to the Bus. The Driver will assist in loading your Luggage and Golf Bags in the vehicle and then you will board and transfer to your Hotel. 

Departure Procedure:  

Approximately 48 Hours prior to departure, your Escort will address the Group and advise you of the following: 

  • Departure Time. 
  • Wake-Up Calls. 
  • When to have your Luggage and Golf Clubs outside your room to be collected by the Porters. 

If you are not comfortable with the Porters handling your Golf Clubs, you are welcome to bring them down to the Porter Station the morning of or the night before. 

  • Outstanding Bills (charges to the room – if any). 
  • Answers to any other questions you may have. 

A Driver will meet you at your Hotel for the Group Transfer to the Airport. The time is scheduled to ensure you arrive at the Airport three (3) hours prior to your International Flight. This will afford you plenty of time to check-in your luggage/golf clubs and go through security. You will also have time for any duty-free shopping as well. 

 

Active Travel: 

 

13. Hotel Check-In Information

Hotels have a standard check-in time during the mid- afternoon, and we have mapped out your arrival itinerary based on that time. If you are arriving earlier than the Group, and wish to have a guaranteed room ready for your immediate check-in upon arrival, it will require an additional room night to be purchased/confirmed for the night prior. Please ask LetsTrav for details and prices. Requests for early check-in are pending, and on request basis. It is the sole discretion of the Hotel, and will depend on the Hotel availability. 

14. Daily Itineraries of the Tour 

LetsTrav reserves the right to modify the tour itinerary, including arranged sightseeing and substitute accommodations/restaurants/golf courses, at any time due to unforeseen circumstances or circumstances beyond LetsTrav’s control. Reasonable efforts will be made to operate the itineraries as planned, but alterations may occur after the final itinerary has been issued. 

Due to the nature of International Travel, itineraries listed on the website are for guidance purposes only and may be adjusted due to unforeseen circumstances including but not limited to operation closures, restoration of establishments, weather, road closures, medical emergencies and other conditions beyond LetsTrav’s control at the sole discretion of our Operators and/or Government Officials. 

 

 

Activity Expectations: 

15. Physicality and Activity Level 

To enjoy the Tours as planned, a minimum level of fitness is required. 

Upon booking a Tour, you confirm that you, and all parties within your Order, are physically and emotionally fit to travel on the Tour you registered for. In addition, you confirm/acknowledge that their are no medical or emotional conditions that would endanger the Guest, or any Guest on the trip as a result in a deviation of the Tour. Any Guest with special medical, physical, and/or other needs requiring medical attention or special accommodation during the Tour is required to notify LetsTrav in the designated section noted in the Registration Process. LetsTrav advises that any Guest who is not self-sufficient must travel with a companion who shall take responsibility for any personal assistance needed during the Tour. A typical day of touring can include 3-5 miles of walking – spread out over the course of the day. A typical day of golfing will include approximately 4-5 miles (unless you utilize the rental of a Golf Cart.)  

 

Coverage and Requirements: 

 

16. Travel Insurance 

Travel Insurance is not included in the price of the booking, and is strongly encouraged.  

17. Passports and Visas

It is the Guest’s sole responsibility to identify if they need to obtain Travel Visa. It is the Guest’s sole responsibility to identify if they need to obtain/renew their Passport(s). A valid passport is required for U.S. citizens travelling to all international destinations. Passports must be valid through six (6) months after the completion date of the Tour. There must also be a sufficient number of blank pages within the Passport Booklet to accommodate entry and exit stamps. 

Visa for Europe: 

At present, US citizens do not require a Travel Visa. 

Starting in 2026, a Travel Visa (ETIAS) will be required by all U.S. Passport holders. When that goes into affect, each client will be informed where to obtain them, and how much. These details will be indicated in the FAQ Page found on your Tour Website, and in your Pre-Travel Documentation. It is the sole responsibility of the client to obtain the ETIAS prior to departure. Fees and Registrations are done directly through an Official Government website, and not through LetsTrav. 

Non U.S. Passport Holders: 

Due to continuous updates in travel requirements, citizens whom have a non-US Passport (a passport from another country) should contact the appropriate government office with regards to their entry requirements for the countries included in your Tour. You may be refused boarding or removed from a plane/ship without liability for refund, payment, compensation, or credit of any kind if you do not have the necessary documentation. You will also be liable for any fine or costs incurred by LetsTrav that result from improper documentation, or noncompliance with the regulations. LetsTrav is not responsible if any guest is denied entry to a particular country due to missing documentation. 

18. Public Health: Infectious Diseases 

Clients both agree, understand, and acknowledge that an inherent risk of exposure to Communicable and Infectious Diseases (as well as variants and strains) can take place while traveling. They exist in any/all public places where people are present. There are no precautions that can eliminate 100% risk of exposure to them, and the risk of exposure applies to everyone. Relevant public health authorities, including the CDC, are referred to as “Public Health Authorities.” By registering for your Tour, you acknowledge the risk of exposure to Communicable or Infectious Diseases, including the risk that you could expose others that encounter you, even if you are not experiencing or displaying any symptoms of illness. 

Clients acknowledge, and agree, to voluntarily accept any and all risks in any way related to exposure to any Communicable or Infectious Diseases. Participating in a tour with LetsTrav is entirely voluntary. Clients are knowledgeable about their individual risk of developing severe illness if they are exposed to and/or infected with highly contagious or communicable illnesses or disease. Clients must make an informed decision about travelling and if you have any hesitation, we strongly recommend that you consult with a medical professional before deciding to participate in our Tours based on your individual risk. 

Clients agree to abide by, and consent to, all public health rules, regulations, mandates and safety protocols issued by Public Health Authorities worldwide. You further acknowledge that the public health rules, regulations, mandates, and safety protocols issued by Public Health Authorities and/or other governing bodies are subject to change. LetsTrav reserves the right to enforce the requirement of any health and safety protocols, including, but not limited to, requirements on vaccinations, masks, and physical distancing at its sole discretion, without notice, in line with the Public Health Authorities. It is your sole responsibility to confirm any changes to any health and safety protocols that may be applicable at any destination worldwide and ensure compliance with all health and safety protocols. 

While LetsTrav will do its best to inform every client – it is also the responsibility of the client to become informed about the most current travel advisories and warnings by referring to the U.S. State Department or their respective government agencies. In the event of an active State Department or government agency travel warning against travel to the specific destination location(s) of the Tour, should the client still choose to travel, notwithstanding any travel advisory, the client assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against. You are also encouraged to review any CDC travel advisory, warning, or recommendation relating to travel prior to making your Tour at https://www.cdc.gov, and the U.S. State Department’s website at http://travel.state.gov. 

19. Photography/Video during Tours 

LetsTrav reserves the right to take photographs and video of Guests during the operation of any Tour or part thereof and to use, re-use, publish, and republish their image, identity likeness, voice, interview, statements, video clips and sound recordings, and/or photographic portraits or pictures in which Guest(s) may be included (an  “Image”), for promotional purposes during the program and thereafter. By booking a Tour with LetsTrav, clients acknowledge that LetsTrav is the owner of the photographs and video and agree to allow their Image to be used in such photographs and videos, which may thereafter be used by LetsTrav. Clients who prefer that their images not be used must (1) identify themselves to their Tour Escort at the beginning of their Tour; and (2) notify their LetsTrav Consultant via Email, no later than fourteen (14) days following the end of the Guest’s Tour. In the event the Guest fails to comply with both obligations, the Guest shall not be exempt from this section. If a written notice is not timely provided, the Guests, individually and on behalf of any Minor travelling with them, have granted unrestricted rights and permission for LetsTrav to use the Images. 

20. Limits and Responsibility for Third Parties who provide Goods and Services 

LetsTrav purchases transportation (Aircraft and/or Coach), Hotel and other lodging accommodations, Restaurant, Ground Handling, Golf Course Reservations and other services from various independent suppliers. Neither LetsTrav, nor its affiliates or subsidiaries, nor any of their respective employees, officers, directors, successors, representatives, agents and assigns (collectively the “LetsTrav Parties”), own or operate any transportation, lodging accommodations on land, restaurants, ground transport and other goods and services for your trip. All such persons and entities are independent contractors. As a result, the LetsTrav Parties are not liable for any injury to Guests, including any negligent or willful acts of any such person or entity or of any third person providing such goods and services. 

In addition, and without limitation, the LetsTrav Parties are not responsible for any injury, financial or physical loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, illness, disease, acts of war, civil unrest, revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time. 

If you decide to participate in any activities outside of those that LetsTrav have arranged for you/group, as noted on your Tour Website, the client fully understands and acknowledges that these activities carry with them various inherent risks, including serious illness, injury or death, and you take complete responsibility for your own health and safety and agree to assume all risks of injury, illness or death, whether foreseen or unforeseen, that may befall you as a result of participating in any Activities and agree to release the LetsTrav Parties from any liability whatsoever related thereto. 

Further, as consideration for being permitted to participate in the Activities; you release the LetsTrav Parties, whether known or unknown, from, and agree not to sue or make claim against the LetsTrav Parties for, property damage, cancellation of any Activities for any reason, illness, negligent rescue operations or procedures, personal injury, or death arising out of your participation in the Activities, and any activity related thereto, including transportation to and from the site of the Activities, regardless of whether such property damage, illness, personal injury, or death results from the negligence of the LetsTrav Parties and/or from any defect in equipment. You further agree to indemnify and hold the LetsTrav Parties harmless with respect to any claim made against the LetsTrav Parties by anyone else (a) related to your participation in any trip or any Activities, or (b) which would be subject to the above release and covenant not to sue if you had made the claim directly yourself. Upon receipt of notice of the assertion of a claim, the LetsTrav Parties reserve the right to approve, or withdraw approval of, counsel, in its sole discretion. 

21. Amendments 

LetsTrav reserves the right to correct any errors or omissions in its published materials and to amend these Terms at any time. All amended Terms shall automatically be effective upon being posted by LetsTrav to the Website. Guests should check the Website prior to travel in order to ensure they are aware of any changes. 

22. Important Limitations on the Company’s Liability 

Nothing in these Terms shall limit or deprive LetsTrav of the benefit of any applicable statutes or laws of the United States of America or any other country; or any international convention providing for release from, or limitation of, liability. In the event multiple statutes, laws or conventions may apply, LetsTrav shall be entitled to any or all such limitations unless there is a conflict between such statutes, laws or conventions, in which case LetsTrav shall be entitled to invoke the limitation which provides the most favorable limitation to LetsTrav.

In order to confirm a Registration/Booking, you must select the box on the Final Page that acknowledges the Terms and Conditions that are listed in Full. Upon completing your Registration/Booking for a Trip, you accept the Terms and Conditions (“Terms”) that are provided during the booking process, and listed in full on the Main Website. These Terms include an agreement to mandatory binding individual arbitration, which means that you agree to proceeding in court. These Terms also include your waiver of any right to bring, or participate in, a class action and a jury trial waiver. If anything in these Terms is (or becomes) invalid or unenforceable, it will still be enforced to the fullest extent permitted by law and you will still be bound by everything else in these Terms. For all other terms and conditions, please refer to the information below or located within letstrav.com/terms. 

 

1. Deposits and Payment Information 

A non-refundable Deposit of $500 (per person) is required at the time of booking in order to confirm your reservation. Final payments in the form of Credit/Debit Card, Check, ACH, or Apple Pay must be received on/before 90 days prior to your departure date. All payments are forwarded to reserve aspects of your Tour. Failure to comply with the final payment due date, or any other applicable policies and procedures, will result in additional fees and/or cancellation of pending reservations without refund of monies paid.

Final Payment Due Dates (90 days prior to the departure date) of the Tour you registered for will be reflected in both your Invoice, and in your Account. 

Registrations made within 90 days of departure are under “Pending Status”. LetsTrav Agents will then review, and advise you directly, if we can confirm you for the Tour. If we are able to confirm you for the Tour, the Full Cost of the trip is due at the time of registration. Payments made remain non-refundable. 

2. Prices and Arrangements of Tours 

Quoted Tour prices are per person and based on double occupancy. Although not expected, prices may be modified due to unexpected significant external factors not forecasted at the time of publishing. LetsTrav Tours are “Packages” and are under no obligation to provide a breakdown in costs of any Tour. Pre and Post-Stay Extensions are only available to guests booked on related group tours. Any modifications to an itinerary, also including the dates of travel or the number of people traveling, will require a revised proposal. Refunds are not applicable towards any aspect of a Tour you choose to not participate in or skip (ex: return to the Hotel early, have dinner in an alternative restaurant than the group etc.)  

3. Child Policy and Minor Consent 

All children under the age of 18 must be accompanied by an adult. If both parents are not in attendance, for security and international safety reasons, a “Minor Consent Form” must be filled out and signed by both parents/legal guardians.  

LetsTrav will make efforts to accommodate a family. In such arrangements, LetsTrav requires that each room in the configuration for children must include an adult. 

The parent or guardian travelling alone with a child is required to carry a copy of documentation that proves their relationship to the child (such as a birth certificate) and evidence that they have permission to travel with the child (such as a copy of the Minor Consent Form signed by both parents/legal guardians). You must also provide a certified letter signed and dated by both parents/guardians. Guests travelling with children who are not related must carry documentation which provides evidence they have permission from both parents/guardians to travel with the child. Guests are advised to check with the appropriate government authority to determine the necessary documents required for travel with children. LetsTrav cannot be held responsible should any guest, child or member of the travelling party be denied entry to a a particular country due to noncompliance with the requirements of that country. 

4. Inclusions of Tours 

Per the Website of your Tour that you are registered for:  

“Tour Only” includes: 

Land Portion (all aspects that take place within your Tour that are listed under “Inclusions” – Hotel Accommodations, Tour Escort, Meals as noted, Transfers, Guided Tours, Entrance Fees etc.)  

Any aspect involving “Airfare” (and associated Taxes/Fees) are the sole cost and responsibility of the traveler. You may purchase these via Airline Websites, SkyMiles, Credit Card Rewards, or ReSeller Website. Client must provide LetsTrav with their confirmed flight itinerary on or prior to 30 days before departure. 

One (1) Group Transfer is arranged for Arrival and Departure at the Airport noted on the Tour Website you are registered for. The times of those transfers will be listed on the Website, and arranged based on the Itinerary. 

In the event your Flight arrives or departs outside of the Group – we can arrange a Private Transfer for you at an additional cost. The transfer will then be arranged based on the times of your flight(s). A Driver will meet you in the Arrival’s Hall with a sign noting “LetsTrav”. The vehicle will accommodate the number in your party, and luggages noted. 

“With Airfare” includes: 

Roundtrip Airfare (All Taxes and Surcharges). 

Land Portion (all aspects that take place on the Land-Portion of your Tour that are listed under “Inclusions” – Hotel Accommodations, Tour Escort, Meals as noted, Transfers, Guided Tours, Entrance Fees etc.) 

 

5. Not Included in Tours 

The Website of the Tour you registered for will indicate what is “Included” and “Not Included” in the Selling Price. 

Costs associated with obtaining/renewing Passports; excess baggage charges; meals other than noted under “Inclusions”; room service charges; beverages outside of what is specified in the tour; sightseeing not included in the published itinerary; and any personal expenses such as dry cleaning, phone calls; and optional activities (i.e. transfers, tours, restaurants, bars etc) that are outside of the Group Tour listed on the website. 

Tips/Gratuities for Tour Escorts and/or Drivers are NOT included. A suggested amount is noted in the FAQ Page of your Tour Website, our Main Website, and your Final Confirmation that is sent to you prior to your departure. 

6. Upgrades/Special Requests 

All Tours are priced per person, based on a double occupancy in a standard room consisting of your choice of One (1) Queen Bed or Two (2) Twin Beds. Upgrades to Junior Suites, Suites, or Signature Suites are available on request basis for an additional cost. Please ask LetsTrav for details and pricing.  

Room Location requests such as adjacent/connecting rooms, or near elevators,  should be advised in the designated space within the Registration Process. Please note that reasonable efforts will be made to secure special requests; however, they cannot be guaranteed. In this case, alternative options will be provided. 

All Tours including Airfare are based on Economy Seating. Upgrades to Business Class are available on request, for an additional cost, and can be selected during the Registration Process. Please ask LetsTrav for details and prices. Please note that reasonable efforts will be made to secure special requests; however, they cannot be guaranteed.  

*Upgrades to Premium Economy or Economy Plus can be selected and purchased at the clients expense after they have Paid in Full, Tickets have been issued, and they have their Flight Confirmation Number. IF a client wishes to secure these seats earlier, payments for the Flights must be made at that time – allowing the purchase and issuing of your Airline Ticket, and obtaining the Flight Confirmation Numbers. Once tickets are issued, ticket costs are non-refundable. 

7. Materialization of Tours:

All Tours that meet the minimum number of fully paid travelers reflected in the Proposal, will operate as noted on the website. In cases of force majeure, which could include any major world event/weather adversely affecting international travel patterns or other circumstances beyond LetsTrav’s control, will an itinerary be altered.

LetsTrav does NOT include Baggage Fees to Mexico. This is due to the duration of the Tour – and varying luggage sizes that clients require. This way, the client can decide to bring a large luggage versus a small bag (or just a Carry-On) and purchase the aligned Fee at the Airport. 

Baggage and personal items are at the owner’s risk throughout the time of your Tour. LetsTrav assumes no liability for lost, stolen or damaged baggage. Please check with your international carrier for other baggage restrictions and fees applicable to your international flights.

12. Transfer Procedures:

Arrival Procedure: 

A Driver/Escort will meet your Group in the Arrival’s Hall of the Airport – holding a sign noting “LetsTrav”. You will have time to utilize the restrooms before being escorted to the Bus. The Driver will assist in loading your luggage in the vehicle and then you will board and transfer to your Hotel. 

Departure Procedure:  

Approximately 48 Hours prior to departure, your Escort will address the Group and advise you of the following: 

  • Departure Time. 
  • Wake-Up Calls. 
  • When to have your Luggage outside your room to be collected by the Porters. 
  • Outstanding Bills (charges to the room – if any). 
  • Answers to any other questions you may have. 

A Driver will meet you at your Hotel for the Group Transfer to the Airport. The time is scheduled to ensure you arrive at the Airport three (3) hours prior to your International Flight. This will afford you plenty of time to check-in your luggage and go through security. You will also have time for any duty-free shopping as well. 

 

Active Travel: 

 

13. Hotel Check-In Information

Hotels have a standard check-in time during the mid- afternoon, and we have mapped out your arrival itinerary based on that time. If you are arriving earlier than the Group, and wish to have a guaranteed room ready for your immediate check-in upon arrival, it will require an additional room night to be purchased/confirmed for the night prior. Please ask LetsTrav for details and prices. Requests for early check-in are pending, and on request basis. It is the sole discretion of the Hotel, and will depend on the Hotel availability. 

14. Daily Itineraries of the Tour 

LetsTrav reserves the right to modify the tour itinerary, including arranged sightseeing, and substitute accommodations/restaurants, at any time due to unforeseen circumstances or circumstances beyond LetsTrav’s control. Reasonable efforts will be made to operate the itineraries as planned, but alterations may occur after the final itinerary has been issued. 

Due to the nature of International Travel, itineraries listed on the website are for guidance purposes only and may be adjusted due to unforeseen circumstances including but not limited to operation closures, restoration of establishments, weather, road closures, medical emergencies and other conditions beyond LetsTrav’s control at the sole discretion of our Operators and/or Government Officials. 

 

 

Activity Expectations: 

15. Physicality and Activity Level 

To enjoy the Tours as planned, a minimum level of fitness is required. 

Upon booking a Tour, you confirm that you, and all parties within your Order, are physically and emotionally fit to travel on the Tour you registered for. In addition, you confirm/acknowledge that their are no medical or emotional conditions that would endanger the Guest, or any Guest on the trip as a result in a deviation of the Tour. Any Guest with special medical, physical, and/or other needs requiring medical attention or special accommodation during the Tour is required to notify LetsTrav in the designated section noted in the Registration Process. LetsTrav advises that any Guest who is not self-sufficient must travel with a companion who shall take responsibility for any personal assistance needed during the Tour. A typical day of touring can include 3-5 miles of walking – spread out over the course of the day. 

 

Coverage and Requirements: 

 

16. Travel Insurance 

Travel Insurance is not included in the price of the booking, and is strongly encouraged.  

17. Passports and Visas

 It is the Guest’s sole responsibility to identify if they need to obtain/renew their Passport(s). A valid passport is required for U.S. citizens travelling to all international destinations. Passports must be valid through six (6) months after the completion date of the Tour. There must also be a sufficient number of blank pages within the Passport Booklet to accommodate entry and exit stamps. 

Travel Visa to Mexico: 

At present, US citizens do not require a Travel Visa. 

Non U.S. Passport Holders: 

Due to continuous updates in travel requirements, citizens whom have a non-US Passport (a passport from another country) should contact the appropriate government office with regards to their entry requirements for the countries included in your Tour. You may be refused boarding or removed from a plane/ship without liability for refund, payment, compensation, or credit of any kind if you do not have the necessary documentation. You will also be liable for any fine or costs incurred by LetsTrav that result from improper documentation, or noncompliance with the regulations. LetsTrav is not responsible if any guest is denied entry to a particular country due to missing documentation. 

18. Public Health: Infectious Diseases 

Clients both agree, understand, and acknowledge that an inherent risk of exposure to Communicable and Infectious Diseases (as well as variants and strains) can take place while traveling. They exist in any/all public places where people are present. There are no precautions that can eliminate 100% risk of exposure to them, and the risk of exposure applies to everyone. Relevant public health authorities, including the CDC, are referred to as “Public Health Authorities.” By registering for your Tour, you acknowledge the risk of exposure to Communicable or Infectious Diseases, including the risk that you could expose others that encounter you, even if you are not experiencing or displaying any symptoms of illness. 

Clients acknowledge, and agree, to voluntarily accept any and all risks in any way related to exposure to any Communicable or Infectious Diseases. Participating in a tour with LetsTrav is entirely voluntary. Clients are knowledgeable about their individual risk of developing severe illness if they are exposed to and/or infected with highly contagious or communicable illnesses or disease. Clients must make an informed decision about travelling and if you have any hesitation, we strongly recommend that you consult with a medical professional before deciding to participate in our Tours based on your individual risk. 

Clients agree to abide by, and consent to, all public health rules, regulations, mandates and safety protocols issued by Public Health Authorities worldwide. You further acknowledge that the public health rules, regulations, mandates, and safety protocols issued by Public Health Authorities and/or other governing bodies are subject to change. LetsTrav reserves the right to enforce the requirement of any health and safety protocols, including, but not limited to, requirements on vaccinations, masks, and physical distancing at its sole discretion, without notice, in line with the Public Health Authorities. It is your sole responsibility to confirm any changes to any health and safety protocols that may be applicable at any destination worldwide and ensure compliance with all health and safety protocols. 

While LetsTrav will do its best to inform every client – it is also the responsibility of the client to become informed about the most current travel advisories and warnings by referring to the U.S. State Department or their respective government agencies. In the event of an active State Department or government agency travel warning against travel to the specific destination location(s) of the Tour, should the client still choose to travel, notwithstanding any travel advisory, the client assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against. You are also encouraged to review any CDC travel advisory, warning, or recommendation relating to travel prior to making your Tour at https://www.cdc.gov, and the U.S. State Department’s website at http://travel.state.gov. 

19. Photography/Video during Tours 

LetsTrav reserves the right to take photographs and video of Guests during the operation of any Tour or part thereof and to use, re-use, publish, and republish their image, identity likeness, voice, interview, statements, video clips and sound recordings, and/or photographic portraits or pictures in which Guest(s) may be included (an  “Image”), for promotional purposes during the program and thereafter. By booking a Tour with LetsTrav, clients acknowledge that LetsTrav is the owner of the photographs and video and agree to allow their Image to be used in such photographs and videos, which may thereafter be used by LetsTrav. Clients who prefer that their images not be used must (1) identify themselves to their Tour Escort at the beginning of their Tour; and (2) notify their LetsTrav Consultant via Email, no later than fourteen (14) days following the end of the Guest’s Tour. In the event the Guest fails to comply with both obligations, the Guest shall not be exempt from this section. If a written notice is not timely provided, the Guests, individually and on behalf of any Minor travelling with them, have granted unrestricted rights and permission for LetsTrav to use the Images. 

20. Limits and Responsibility for Third Parties who provide Goods and Services 

LetsTrav purchases transportation (Aircraft and/or Coach), Hotel and other lodging accommodations, Restaurant, Ground Handling and other services from various independent suppliers. Neither LetsTrav, nor its affiliates or subsidiaries, nor any of their respective employees, officers, directors, successors, representatives, agents and assigns (collectively the “LetsTrav Parties”), own or operate any transportation, lodging accommodations on land, restaurants, ground transport and other goods and services for your trip. All such persons and entities are independent contractors. As a result, the LetsTrav Parties are not liable for any injury to Guests, including any negligent or willful acts of any such person or entity or of any third person providing such goods and services. 

In addition, and without limitation, the LetsTrav Parties are not responsible for any injury, financial or physical loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, illness, disease, acts of war, civil unrest, revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time. 

If you decide to participate in any activities outside of those that LetsTrav have arranged for you/group, as noted on your Tour Website, the client fully understands and acknowledges that these activities carry with them various inherent risks, including serious illness, injury or death, and you take complete responsibility for your own health and safety and agree to assume all risks of injury, illness or death, whether foreseen or unforeseen, that may befall you as a result of 

participating in any Activities and agree to release the LetsTrav Parties from any liability whatsoever related thereto. 

Further, as consideration for being permitted to participate in the Activities; you release the LetsTrav Parties, whether known or unknown, from, and agree not to sue or make claim against the LetsTrav Parties for, property damage, cancellation of any Activities for any reason, illness, negligent rescue operations or procedures, personal injury, or death arising out of your participation in the Activities, and any activity related thereto, including transportation to and from the site of the Activities, regardless of whether such property damage, illness, personal injury, or death results from the negligence of the LetsTrav Parties and/or from any defect in equipment. You further agree to indemnify and hold the LetsTrav Parties harmless with respect to any claim made against the LetsTrav Parties by anyone else (a) related to your participation in any trip or any Activities, or (b) which would be subject to the above release and covenant not to sue if you had made the claim directly yourself. Upon receipt of notice of the assertion of a claim, the LetsTrav Parties reserve the right to approve, or withdraw approval of, counsel, in its sole discretion. 

21. Amendments 

LetsTrav reserves the right to correct any errors or omissions in its published materials and to amend these Terms at any time. All amended Terms shall automatically be effective upon being posted by LetsTrav to the Website. Guests should check the Website prior to travel in order to ensure they are aware of any changes. 

22. Important Limitations on the Company’s Liability 

Nothing in these Terms shall limit or deprive LetsTrav of the benefit of any applicable statutes or laws of the United States of America or any other country; or any international convention providing for release from, or limitation of, liability. In the event multiple statutes, laws or conventions may apply, LetsTrav shall be entitled to any or all such limitations unless there is a conflict between such statutes, laws or conventions, in which case LetsTrav shall be entitled to invoke the limitation which provides the most favorable limitation to LetsTrav.

In order to confirm a Registration/Booking, you must select the box on the Final Page that acknowledges the Terms and Conditions that are listed in Full. Upon completing your Registration/Booking for a Trip, you accept the Terms and Conditions (“Terms”) that are provided during the booking process, and listed in full on the Main Website. These Terms include an agreement to mandatory binding individual arbitration, which means that you agree to proceeding in court. These Terms also include your waiver of any right to bring, or participate in, a class action and a jury trial waiver. If anything in these Terms is (or becomes) invalid or unenforceable, it will still be enforced to the fullest extent permitted by law and you will still be bound by everything else in these Terms. For all other terms and conditions, please refer to the information below or located within letstrav.com/terms. 

 

1. Deposits and Payment Information 

A non-refundable Deposit of $500 (per person) is required at the time of booking in order to confirm your reservation. Final payments in the form of Credit/Debit Card, Check, ACH, or Apple Pay must be received on/before 60 Days prior to your departure date. All payments are forwarded to reserve aspects of your Tour. Failure to comply with the final payment due date, or any other applicable policies and procedures, will result in additional fees and/or cancellation of pending reservations without refund of monies paid.

Final Payment Due Dates (60 Days prior to the departure date) of the Tour you registered for will be reflected in both your Invoice, and in your Account. 

Registrations made within 60 Days of departure are under “Pending Status”. LetsTrav Agents will then review, and advise you directly, if we can confirm you for the Tour. If we are able to confirm you for the Tour, the Full Cost of the trip is due at the time of registration. Payments made remain non-refundable. 

2. Prices and Arrangements of Tours 

Quoted Tour prices are per person and based on double occupancy. Although not expected, prices may be modified due to unexpected significant external factors not forecasted at the time of publishing. LetsTrav Tours are “Packages” and are under no obligation to provide a breakdown in costs of any Tour. Pre and Post-Stay Extensions are only available to guests booked on related group tours. Any modifications to an itinerary, also including the dates of travel or the number of people traveling, will require a revised proposal. Refunds are not applicable towards any aspect of a Tour you choose to not participate in or skip (ex: return to the Hotel early, have dinner in an alternative restaurant than the group etc.)  

3. Child Policy and Minor Consent 

All children under the age of 18 must be accompanied by an adult. If both parents are not in attendance, for security and safety reasons, a “Minor Consent Form” must be filled out and signed by both parents/legal guardians.  

LetsTrav will make efforts to accommodate a family. In such arrangements, LetsTrav requires that each room in the configuration for children must include an adult. 

The parent or guardian travelling alone with a child is required to carry a copy of documentation that proves their relationship to the child (such as a birth certificate) and evidence that they have permission to travel with the child (such as a copy of the Minor Consent Form signed by both parents/legal guardians). You must also provide a certified letter signed and dated by both parents/guardians. Guests travelling with children who are not related must carry documentation which provides evidence they have permission from both parents/guardians to travel with the child. Guests are advised to check with the appropriate government authority to determine the necessary documents required for travel with children. LetsTrav cannot be held responsible should any guest, child or member of the travelling party be denied entry to a a particular country due to noncompliance with the requirements of that country. 

4. Inclusions of Tours 

Per the Website of your Tour that you are registered for:  

“Tour Only” includes: 

All aspects that take place within your Tour that are listed under “Inclusions” – Hotel Accommodations, Tour Guide (if applicable), Meals as noted, Transfers, Guided Tours, Entrance Fees etc. 

Anyone Flying to the Destination:  

Airfare (and associated Taxes/Fees) are the sole cost and responsibility of the traveler. You may purchase these via Airline Websites, SkyMiles, Credit Card Rewards, or ReSeller Website. Client must provide LetsTrav with their confirmed flight itinerary on or prior to 30 days before departure. 

Anyone utilizing a Car / Bus / Train:  

Tickets/Gas (associated Taxes/Fees) are the sole cost and responsibility of the traveler. Client must provide LetsTrav with confirmation in the Registration Form. This is to ensure we confirm the correct size Transfer for those Flying – and – to inform the Hotel so they are aware of possible early/late arrivals. 

One (1) Group Airport Transfer can be arranged for Arrival and Departure at the Airport noted on the Tour Website you are registered for. The times of those transfers will be listed on the Website, and arranged based on the Itinerary. 

In the event your Flight arrives or departs outside of the Group – we can pre-arrange a Private Transfer for you at an additional cost. Otherwise, you can utilize Uber or LYFT at your own discretion. 

5. Not Included in Tours 

The Website of the Tour you registered for will indicate what is “Included” and “Not Included” in the Selling Price. 

Costs associated with obtaining/renewing Passport or Real I.D.’s; Airfare; Baggage Fees; meals other than noted under “Inclusions”; room service charges; beverages outside of what is specified in the tour; sightseeing not included in the published itinerary; and any personal expenses such as dry cleaning, phone calls; and optional activities (i.e. transfers, tours, restaurants, bars etc) that are outside of the Group Tour listed on the website. 

Tips/Gratuities for Day Tour Guides (if any) and Drivers are NOT included. A suggested amount is noted in the FAQ Page of your Tour Website, our Main Website, and your Final Confirmation that is sent to you prior to your departure. 

6. Upgrades/Special Requests 

All Tours are priced per person, based on a double occupancy in a standard room consisting of your choice of One (1) Queen Bed or Two (2) Twin Beds. Upgrades to Junior Suites, Suites, or Signature Suites are available on request basis for an additional cost. Please ask LetsTrav for details and pricing.  

Room Location requests such as adjacent/connecting rooms, or near elevators,  should be advised in the designated space within the Registration Process. Please note that reasonable efforts will be made to secure special requests; however, they cannot be guaranteed. In this case, alternative options will be provided. 

7. Materialization of Tours:

All Tours that meet the minimum number of fully paid travelers reflected in the Proposal, will operate as noted on the website. In cases of force majeure, which could include any major world event/weather adversely affecting travel patterns or other circumstances beyond LetsTrav’s control, will an itinerary be altered. 

Tours that exceed the minimum number of fully paid travelers reflected in the Proposal, will be reviewed. The Group Leader will be contacted to confirm if they are open to accepting more travelers. If so, we will confirm travelers are case-by-case basis. If not, the Tour will be noted as “Sold Out”. 

Tours that fall short of the minimum number of fully paid travelers will be reviewed. Depending on how many are booked, we will review and make efforts to ensure the trip operates. This can come in the form of altering accommodations, itinerary, sites etc. If they wish to keep the itinerary as is – a price increase may be required. Clients will be advised, and is their responsibility to cover.  

*Cancellations made due to change of itinerary/dates are subject to standard Terms and Conditions – Fees will apply. 

 

8. Cancellation Terms 

Cancellations will be effective on the date of registration, and via receipt by LetsTrav via email. Cancellations are subject to the following cancellation fees: 

CANCELLATION FEES PER PERSON
91 days prior to departure or more: $500 Non-Refundable Deposit 

90-61 days prior to departure: $500 Non-Refundable Deposit + 20% of Trip. 

60-31 days prior to departure: $500 Non-Refundable Deposit + 50% of Trip. 

Within 30 days of departure: 100% – No Refund. 

PARTIAL ROOM CANCELLATION:
If a Guest cancels or leaves a Tour, and a traveler/roommate remains, an additional supplement may apply to the price for the remaining Guest. 

CANCELLATION CHARGES FOR EXTRA SERVICES
Additional Hotel nights, and other extra services, booked in connection with LetsTrav Tours are subject to the same cancellation penalties.  

9. Force Majeure 

Force majeure means unusual and unforeseeable circumstances beyond the control of LetsTrav, or our suppliers. The consequence of which neither LetsTrav, nor its suppliers, could avoid even with all due care, including, but not limited to, war or threat of war; riot; civil strife; terrorist activity (actual or threatened); industrial dispute; technical problems with transport, machinery or equipment; outages or power failures; natural or nuclear disaster; fire, flood, drought or adverse weather conditions; pandemics, epidemics or outbreaks of illness. In the event of a cancellation or material alteration to the Tour as a result of the circumstances described in this clause, LetsTrav shall have no liability whatsoever for any travel related costs incurred by the client, including but not limited to air, insurance, visas and other travel arrangements of any kind.

In the event of an active State Department or government agency travel warning against travel to the specific destination location(s) of the Tour, should the client still choose to travel, notwithstanding any travel advisory, the client assumes all risk of personal injury, death or property damage that may arise out of the events like those advised or warned against. You are also encouraged to review any CDC travel advisory, warning, or recommendation relating to travel prior to making your Tour at https://www.cdc.gov, and the U.S. State Department’s website at http://travel.state.gov. 

19. Photography/Video during Tours 

LetsTrav reserves the right to take photographs and video of Guests during the operation of any Tour or part thereof and to use, re-use, publish, and republish their image, identity likeness, voice, interview, statements, video clips and sound recordings, and/or photographic portraits or pictures in which Guest(s) may be included (an  “Image”), for promotional purposes during the program and thereafter. By booking a Tour with LetsTrav, clients acknowledge that LetsTrav is the owner of the photographs and video and agree to allow their Image to be used in such photographs and videos, which may thereafter be used by LetsTrav. Clients who prefer that their images not be used must (1) identify themselves to LetsTrav prior to the Tour; and (2) notify their LetsTrav Consultant via Email, no later than fourteen (14) days following the end of the Guest’s Tour. In the event the Guest fails to comply with both obligations, the Guest shall not be exempt from this section. If a written notice is not timely provided, the Guests, individually and on behalf of any Minor travelling with them, have granted unrestricted rights and permission for LetsTrav to use the Images. 

20. Limits and Responsibility for Third Parties who provide Goods and Services 

LetsTrav purchases transportation (Aircraft and/or Coach), Hotel and other lodging accommodations, Restaurant, Ground Handling and other services from various independent suppliers. Neither LetsTrav, nor its affiliates or subsidiaries, nor any of their respective employees, officers, directors, successors, representatives, agents and assigns (collectively the “LetsTrav Parties”), own or operate any transportation, lodging accommodations on land, restaurants, ground transport and other goods and services for your trip. All such persons and entities are independent contractors. As a result, the LetsTrav Parties are not liable for any injury to Guests, including any negligent or willful acts of any such person or entity or of any third person providing such goods and services. 

In addition, and without limitation, the LetsTrav Parties are not responsible for any injury, financial or physical loss, death, inconvenience, delay or damage to personal property in connection with the provision of any goods or services whether resulting from but not limited to acts of God or force majeure, illness, disease, acts of war, civil unrest, revolt, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation or for failure of any transportation mechanism to arrive or depart on time. 

If you decide to participate in any activities outside of those that LetsTrav have arranged for you/group, as noted on your Tour Website, the client fully understands and acknowledges that these activities carry with them various inherent risks, including serious illness, injury or death, and you take complete responsibility for your own health and safety and agree to assume all risks of injury, illness or death, whether foreseen or unforeseen, that may befall you as a result of 

participating in any Activities and agree to release the LetsTrav Parties from any liability whatsoever related thereto. 

Further, as consideration for being permitted to participate in the Activities; you release the LetsTrav Parties, whether known or unknown, from, and agree not to sue or make claim against the LetsTrav Parties for, property damage, cancellation of any Activities for any reason, illness, negligent rescue operations or procedures, personal injury, or death arising out of your participation in the Activities, and any activity related thereto, including transportation to and from the site of the Activities, regardless of whether such property damage, illness, personal injury, or death results from the negligence of the LetsTrav Parties and/or from any defect in equipment. You further agree to indemnify and hold the LetsTrav Parties harmless with respect to any claim made against the LetsTrav Parties by anyone else (a) related to your participation in any trip or any Activities, or (b) which would be subject to the above release and covenant not to sue if you had made the claim directly yourself. Upon receipt of notice of the assertion of a claim, the LetsTrav Parties reserve the right to approve, or withdraw approval of, counsel, in its sole discretion. 

21. Amendments 

LetsTrav reserves the right to correct any errors or omissions in its published materials and to amend these Terms at any time. All amended Terms shall automatically be effective upon being posted by LetsTrav to the Website. Guests should check the Website prior to travel in order to ensure they are aware of any changes. 

22. Important Limitations on the Company’s Liability 

Nothing in these Terms shall limit or deprive LetsTrav of the benefit of any applicable statutes or laws of the United States of America or any other country; or any international convention providing for release from, or limitation of, liability. In the event multiple statutes, laws or conventions may apply, LetsTrav shall be entitled to any or all such limitations unless there is a conflict between such statutes, laws or conventions, in which case LetsTrav shall be entitled to invoke the limitation which provides the most favorable limitation to LetsTrav.
